Privacy & Cookies Policy
Last updated: September 2026
1. Introduction
Immanuel Innovation is committed to safeguarding the privacy of everyone who visits this website or uses our platform - students, parents/guardians, mentors and teachers. This policy explains what personal data we collect, why, and what rights you have over it.
Immanuel Innovation is part of the Immanuel Online suite, operated by Immanuel Christian Education LLP. We act as the "data controller" for the personal data described in this policy.
2. Who we are and how to contact us
This website is owned and operated by Immanuel Innovation, a service of Immanuel Christian Education LLP. If you have any questions about this policy or how we handle your data, please contact us at contact@immanuelonlineschool.com.
3. The personal data we collect
We may process the following categories of personal data:
- Account data - your name, username, email address, password (stored securely, never in plain text), role, school/organisation and year group.
- Parental data (for younger students) - a parent/guardian's name and email address, and consent status, where our safeguarding process requires it.
- Project & portfolio data - project titles and descriptions, journal entries, milestone progress, files/images you upload, and the portfolio content you choose to write about yourself.
- Community & engagement data - claps, likes, follows, messages sent to collaborators, group memberships and comments.
- Coins, badges & rewards data - your coin balance, transaction history, badges earned and any reward redemptions you request.
- AI assistant requests - the prompts and drafts you generate using our AI mentoring features (see our Use of AI page for more detail).
- Usage data - IP address, browser type, pages visited and timestamps, collected automatically to keep the platform secure and reliable.
4. How we use your personal data
We process personal data to: operate and secure the website and your account; deliver the guided milestone journey, workspace, journal, notifications, coins, badges and rewards features; enable collaboration between students at the same school/organisation; respond to support requests; and comply with our legal and safeguarding obligations.
Our legal bases for this processing are: performance of our contract with you (providing the service you registered for), our legitimate interests in running and improving the platform securely, your consent (or your parent/guardian's consent where you are under 13), and compliance with legal obligations.
5. Children's data and parental consent
Immanuel Innovation is used by students of school age. Where a student is under the age threshold set by UK data protection law, we require verifiable parental/guardian consent before the account becomes fully active, and parents/guardians can contact us at any time to review, amend or withdraw that consent. Group collaboration and public-facing features (such as a public project page or a shareable portfolio link) are only available once any required consent has been given, and can be switched off at any time from the student's Profile.
6. Sharing your personal data
We do not sell personal data. We may share limited data with:
- Other students at your own school/organisation, where you choose to collaborate, publish a project or make your portfolio public - collaboration features are restricted to your own school/organisation by design.
- Our hosting and infrastructure providers, solely to operate the website.
- Our AI provider (Groq), solely to process the specific prompt you submit when you use an AI mentoring feature - see Use of AI.
- Authorities, where required by law or to protect the safety of a child or another person.
7. Cookies we use
We use only essential cookies that are needed for the platform to work securely:
- Session cookie - keeps you signed in while you use the site.
- Security (CSRF) cookie - helps protect forms from misuse.
- Remember me (optional) - only if you tick “Remember my username” when logging in.
We do not use advertising or third-party tracking cookies. You can accept all essential cookies or choose “Essential only” on the cookie notice shown on your first visit - either way, only necessary cookies are used. See our standalone Cookies Policy for full detail.
8. International transfers
Our hosting is based in the United Kingdom. Where we use a third-party AI provider to power mentoring features, your prompt may be processed outside the UK; we only send the minimum information needed to generate a helpful response.
9. Retaining and deleting your data
We keep personal data only for as long as necessary for the purposes described above, or as required by law. You, or your parent/guardian, may ask us to delete your account and associated data at any time by contacting us - some information may be retained where we have a legal or safeguarding obligation to do so.
10. Your rights
Under UK data protection law you (or your parent/guardian on your behalf) have the right to: access the personal data we hold about you; have inaccurate data corrected; have data erased in certain circumstances; restrict or object to processing; receive your data in a portable format; and complain to the Information Commissioner's Office (ICO) if you believe your data has been mishandled. To exercise any of these rights, email contact@immanuelonlineschool.com.
11. Changes to this policy
We may update this policy from time to time by publishing a new version on this page. Please check back occasionally.
